"Online bookkeeping" sounds like software. In practice it means a bookkeeper who works with your business from somewhere else, using the same tools you already have in your pocket. Here is how it actually works, month by month, and what you need to have in place before it can start.

Where the records come from

Most of the work starts with the bank. QuickBooks Online connects to your business bank and card accounts and pulls in every transaction automatically, so nobody types statements by hand. That alone covers most of what a business does in a month.

What the bank feed cannot show is the story behind a transaction: what the $240 at the hardware store was for, which customer the deposit came from, whether the restaurant charge was a client lunch or dinner with family. That is where you come in, briefly. Receipts and documents reach us as photos on WhatsApp, as email attachments, or in a shared Google Drive folder, whichever you already use. For bigger batches, such as a stack of statements for catch-up work, we send a private upload link so files go straight into our workspace.

We do not need you to organize anything first. Send it as it comes.

What happens during the month

Transactions are categorized as they arrive. When one is unclear, it goes on a list, and the list comes to you once, as a short message with everything we need, not a question every day. You answer in a sentence each, and the month closes.

After the month ends, every bank and card account is reconciled, which means the books are compared line by line with the statement until they match to the cent. That step is what makes the numbers trustworthy, and it is the step that is missing when books are "kept" but never reconciled.

How you see the results

Three ways. You have your own login to the QuickBooks file, so you can look any time; the file belongs to your business, not to us. You receive a monthly report, written to be read: sales, expenses, profit, and cash, with a short note on what changed. And if you want to talk it through, a call or a video call, in English or Spanish, is part of the relationship, not an extra.

How your information is protected

Your documents go to our own private, password-protected workspace, not to a shared folder or a public inbox. Access to your bank is read-only through the bank feed. We ask you not to put tax IDs or bank details in plain messages; documents that contain them travel as files, and the upload link exists for that reason. Our privacy page describes the rest in plain language.

What you need before starting

Three things, and only the first takes any effort.

A business bank account, separate from your personal one. If every business transaction runs through it, the bank feed is the bookkeeping and the monthly questions shrink to almost nothing.

A QuickBooks Online subscription, which is paid to QuickBooks directly. If you do not have one, setting it up is part of starting work.

A phone with WhatsApp or email, which you already have.

If months are already behind, that is not a reason to wait; it is where catch-up bookkeeping comes first, and the monthly routine starts once the backlog is clean.

Is online bookkeeping only for certain businesses?

No. A cleaning company, a contractor, a food truck, a consultant, a real estate agent and a small shop all have the same shape of month: money in, money out, a bank statement that has to match. The industry changes what the categories are called, not how the work is done. What matters is that the person doing it knows your business, answers your questions, and gives you numbers you can read.

Questions about this topic

Do I have to meet in person at any point?

No. Everything from the first conversation to the monthly report happens by phone, video, WhatsApp and shared documents. Choice is based in Utah and works with businesses across the country this way.

What if I do not use QuickBooks?

We set up a QuickBooks Online file as part of starting work. If you have records elsewhere, we bring in the history that matters and start the bank feed from there.

How much of my time does it take each month?

Usually a few minutes: sending receipts as they come and answering one short list of questions. The reconciling, categorizing and reporting are our side.
